Roll out the extension
Your people are only protected once the extension is installed and they’ve signed in to it. How you get it to them depends on whether your IT team manages your organization’s browsers.
If your team installs it themselves
This is the usual case. The welcome email does most of the work.
- Test the extension yourself first. See Install and sign in.
- Tell your team it’s coming, and why. A short message from you works better than an unexpected email. You can use the template in Announce it to your team.
- Activate your people on the Users page. Each Member and Admin gets a welcome email with the store links for Chrome and Brave, Microsoft Edge, and Firefox, and the steps to sign in.
If someone needs the links again, they’re in My Organization > Extension settings, or you can send them to Install and sign in.
If your IT team deploys it
Some organizations are set up by Sanitized AI as managed by IT. For those, the welcome email tells people that IT installs the extension, and it has no store links.
- Ask your IT team to deploy the extension to a pilot group. The setup guide is in My Organization > Extension settings, and on Deploy the managed browser extension.
- Once the pilot works, have IT deploy it to everyone.
- Activate your people on the Users page. Their welcome email tells them to sign in to the extension that IT installed.
People still sign in to the extension with their own work email. Until they do, a managed extension only records activity and doesn’t warn anyone.
Check who is protected
- My Team: the Extension column shows Installed or Not detected for each person who reports to you. Not detected means their extension hasn’t reported in yet, which usually means it isn’t installed.
- Users: the Last Login column shows who has never signed in. For someone active who hasn’t signed in, use Resend welcome email from the Actions menu.
- Data Insights: the Active Users card shows how many people produced any activity. Someone with no activity is either not using AI tools or not running the extension.
Announce it to your team

Subject: We’re adding a safety net for AI tools
Starting this week, we’re using Sanitized AI to keep sensitive information, such as client and personal data, out of AI tools like ChatGPT.
You’ll get a welcome email from Sanitized AI with two steps: install the browser extension, and sign in with your work email. It takes a few minutes.
After that, use AI tools as usual. If a prompt contains something sensitive, Sanitized AI stops it and shows you how to fix it. It doesn’t record what you write: we only see that something was flagged.
