Roles and access levels
Everyone in your organization has one access level. Separately, anyone can have people who report to them. The access level decides whether someone uses the browser extension and whether they can manage the organization. The reporting line decides whose activity they can see.
The three access levels
The following table compares the access levels.
| Access level | Uses the browser extension | Web dashboard | Uses a seat |
|---|---|---|---|
| Member | Yes | Only if people report to them | Yes |
| Dashboard only | No | Yes, read-only, for the people who report to them | No |
| Admin | Yes | Yes, including all organization settings | Yes |
Member
Most people are Members. The browser extension protects them while they use AI tools, and they don’t need anything else.
A Member who signs in at app.sanitized.ai sees a Your account is active page instead of a dashboard. That’s expected: their protection lives in the extension. If people report to a Member, that Member also gets a team dashboard. For details, see Reporting lines.
Dashboard only
For someone who reviews their team’s activity but doesn’t use AI tools, such as a department head or a compliance lead. A Dashboard only account:
- Can sign in to the web dashboard and see the people who report to them.
- Can’t use the browser extension, so their own AI use isn’t protected.
- Doesn’t use a seat.
Admin
Admins manage the organization: people, access levels, guardrails, AI tools, exceptions, and settings. The browser extension protects admins too.
Every organization needs at least one Admin. You can’t remove your own Admin access, disable your own account, or delete it. Nobody can change, disable, or delete the last Admin.
Reporting lines
Who someone manages is a separate setting from their access level. An admin sets Reports to on each person. Anyone who has people reporting to them gets a team dashboard, whatever their access level.
A team dashboard shows:
- The people who report to you directly.
- Everyone further down that line, such as the people who report to your reports.
It doesn’t include your own activity. If you’re a Member or an Admin, your own activity is on the My Activity page.
A banner at the top of the team pages shows who’s included, for example “Showing your 4 direct reports. Plus 12 people under them.”
What each person sees in the dashboard
The following table shows which dashboard pages each person can open.
| Page | Member, no reports | Member with reports | Dashboard only | Admin |
|---|---|---|---|---|
| Overview, Events, Data Insights | No | Team only | Team only | Whole organization |
| My Team | No | Yes | Yes | If people report to them |
| My Activity | No | Yes | No | Yes |
| Settings | No | Yes | Yes | Yes |
| Admin pages, such as Users and Guardrails | No | No | No | Yes |
If someone who isn’t an Admin opens an admin page, the dashboard takes them to Overview instead.
Change someone’s access level
Admins change access levels on the Users page. For the steps, see Add and manage people.
Two changes show a confirmation first, because they affect protection and seats:
- Member or Admin to Dashboard only removes that person’s browser extension protection and frees a seat.
- Dashboard only to Member or Admin turns protection back on and uses a seat. If your organization has no seats left, the change is refused.
